The conversation around Artificial Intelligence (AI) in the workplace is often dominated by apprehension. However, the true value of these tools lies not in replacing human expertise, but in elevating it.

To explore this shift, we sat down with Shannon, a Level 3 Payroll Administrator apprentice at Academy Training. Shannon has been successfully leveraging AI tools like Gizmo and Google to revolutionise her approach to professional development, balancing rigorous off-the-job training with her daily workplace responsibilities. Her experience offers a fascinating glimpse into how the next generation of payroll professionals is utilising technology to work smarter, not harder.

Moving Beyond Traditional Study Methods

Many learners struggle with the sheer volume of content required for payroll qualifications. For Shannon, the initial motivation to look outside traditional textbooks came down to time management. Having discovered the AI platform Gizmo via social media during her A-levels, she realised its potential to streamline her revision.

“Gizmo being time-efficient allowed me to retain the information needed and dedicate more time to practice questions, past papers, and wider knowledge research to elevate my answers,” Shannon explains.

Rather than abandoning traditional methods entirely, she uses AI as a powerful supplement. Tools like Google AI are integrated into her routine to provide deeper evaluation of complex topics alongside classic techniques such as note-taking, practice questions, and blank page retrieval.

Active Learning and Breaking Down Complex Legislation

One of the greatest challenges in payroll is mastering intricate legislation. Shannon’s strategy involves a deliberate progression within Gizmo, transitioning from multiple-choice questions to typing out full answers once she has “perfected” a topic.

Building a Foundation: She starts with multiple-choice questions to ensure a basic baseline understanding and to check information retention.

Active Testing: Transitioning to typed answers forces deeper cognitive engagement. Because the correct answer isn’t visible on the screen, it prevents passive guessing and highlights specific areas requiring further focus.

This proactive approach keeps her far more engaged than standard textbook reading ever could. Furthermore, when she encounters a roadblock, features like Gizmo’s “Explain” function act as a digital study buddy. For instance, when tackling the nuances of employees working over the state pension age (currently 66) and the implications of the ‘C’ tax code prefix, the AI quickly clarified that while employees become exempt from National Insurance Contributions (NIC), employers must continue to pay them. It also provided broader context, explaining how the ‘C’ category offers tax incentives to keep skilled labour in the workforce longer.

Balancing Workplace Duties with Deep Learning

Time efficiency is arguably the greatest benefit Shannon has experienced. By using Google’s AI mode to identify knowledge gaps quickly without draining her time, she has managed to strike a highly effective balance between her daily workplace payroll duties and her off-the-job training.

This efficiency has ultimately freed up valuable time that she now directs toward understanding the “whys” of payroll—such as the wider effects of legislation on different stakeholders—which has significantly improved her assignment writing.

A Message to Seasoned Payroll Professionals

It is entirely natural for experienced professionals in the wider payroll industry to feel hesitant about adopting AI. When asked what advice she would give to colleagues who might be nervous about these digital shifts, Shannon emphasises a mindset change:

Test and Adapt: Explore the tools and discover how they can best support your specific workplace workflows.

Target Specific Tasks: AI is highly effective for identifying knowledge gaps, preparing presentations, and refining professional email communication.

Enhance, Don’t Replace: > “Do not look at AI as something that will do your job for you; look at it as a way to improve and elevate your skills,” Shannon advises.

The Modern Tech Expert

Looking ahead, AI literacy is set to become a defining trait of successful payroll professionals. While traditional management understands the core compliance rules, an AI-literate apprentice or professional knows how to apply modern tools to eliminate slow, repetitive tasks.

For Shannon, this means shifting away from tedious data entry and focusing instead on genuine payroll strategy. As businesses continue to digitise, professionals who can comfortably guide companies through automated systems and software implementation will be incredibly valuable, putting them on a fast track to promotion and positioning them as modern tech experts.
